Oral Presentation Guidelines

At least one author must be registered to attend the congress. Presenting authors are required to register by the 30th of April 2023 and will qualify for the early registration fee. Registration can be done online at Registration – (saafost2023.org.za)

  • Microsoft PowerPoint presentations should be prepared in Widescreen (16:9) format for optimal viewing. MS PowerPoint 2007 to the latest version can be used.
  • Presenting authors are required to bring their presentation to the speaker preparation room at the CTICC, no less than 2 hours prior to their presentation time. Your presentation will be checked with a technician and then uploaded onto the server. If you are presenting first thing in the morning it is advisable to upload your presentation the day before. Once your presentation is uploaded you can come back and amend if you need to. Once your presentation is uploaded onto the server it will then be “pushed” through to the meeting room you are presenting in and be available for you at the time of your presentation.
  • If your presentation includes embedded video or audio clips, we strongly recommend that you bring these clips with you on a memory stick as a backup. This will allow the technician to assist with re-embedding them into your presentation if they do not work effectively.
  • If your presentation is prepared on a Mac, please allow a bit of extra time to ensure it runs properly on a Windows machine. In some cases you may be required to use your own Mac and should carry your convertor cables and adaptors with you. Please note that it is not ideal for speakers to use their own laptops and this should be avoided where ever possible to eliminate unnecessary time delays.

Qualified technicians will be available in all the meeting rooms to assist you if needed.

Presentation times:

Keynote Speakers – 45 minutes (40 minutes presentation time and 5 minutes for question and answers)
Ernest Newberry Memorial Lecture – 40 minutes (35 minutes presentation time and 5 minutes for question and answers)
Plenary Speakers – 30 minutes (25 minutes presentation time and 5 minutes for question and answers)
Abstract Presentations – 20 minutes (15 minutes presentation time and 5 minutes for question and answers)

It is important to note that session chairpersons will be given strict instructions to ensure the sessions run timeously, to this effect you will be instructed to stop your presentation if you exceed your allocated time.
